Supply Chain Analyst

Job Description

SUMMARY

Analyzes supply chain processes to find improvements in cost, efficiency, and delivery timeliness. Responsible for international purchase order processing, communication (customer/RTI sales rep./RTI internal departments/freight forwarder), and shipment details. Assists with domestic purchase order processing. Controls (supports Materials department) supplier files by organizing, monitoring, and recording information in compliance with associated procedures and ISO/industry requirements. Collaborates with Inventory Planner, Order Management Coordinator, and supports other departments by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Job Roles: RTI General, Supply Chain Process, Order Management Process, Inventory Control Process, Approved Supplier List Process, Cycle Count Process, Mobile Oracle Process, On-Time Fulfillment Process, and Planning/Forecasting Process.

  • Represents the company in dealing with customer inquiries, requests for product samples, literature, and information.
  • Works directly with RTI’s domestic and international sales representatives to assist with customer service activities and perform administrative duties to assist with meeting customer requests.
  • Responsible for inputting, maintaining, and retrieving customer/sales data.
  • Assists RTI sales representatives with getting products and/or materials.
  • Independently interacts with customers and handles referrals to designated distributors for purchase of company products.
  • Refers complaints to Regulatory Affairs for investigation.
  • Manages the Big Commerce application and works with RTI Accounting to process sales transactions.
  • Represents the company in direct contact with customers to ensure continued satisfaction and promote ongoing business relationships.
  • Identifies and advises members of management on issues which should be addressed at a higher level.
  • Independently identifies deadlines and implements methods to comply with responsibilities in a timely fashion.
  • Assists with domestic sales orders when needed.
  • Responsible for coordinating the duties and activities related to processing and preparing customer/sales orders for shipment in a timely manner.
  • Verifies outgoing shipments and establishes related operational procedures.
  • Communicates with customers to track and/or resolve account issues, including but not limited to orders, payments, shipping, or billing issues, and assists with resolving and adjusting errors and discrepancies.
  • Conducts miscellaneous research regarding customer inquiries.
  • Maintains filing system of customer orders and shipping documents.
  • Coordinates information with other departments within the company to satisfy distributor needs.
  • Assists with annual RTI Physical Inventory.
  • Maintains On-Time Fulfillment Spreadsheet.
  • Maintains weekly updates for Walgreens Inventory to provide necessary data.
  • Assists Inventory Planner in coordinating the release of scheduled delivery orders and provides customers with order confirmation/tracking information for their orders.
  • Coordinates and ensures invoices are submitted in portal for customers that require portal invoicing.
  • Reviews supply chain processes for improvements in efficiency and costs. Reports information.
  • Confirms supplier has been approved; if not, obtains the appropriate approval to add as an approved supplier. Ensures W-9 form is received from the supplier and entered into Oracle.
  • Provides credit information to the supplier if required, obtains appropriate executive approval, and ensures all relevant information is available for CFO via the credit application.
  • Follows up on late deliveries and back orders (reports weekly back orders, if any).
  • Maintains International Pricing List (gets new year list approval every December).
  • Maintains Approved Supplier List.
  • Ensures credit card information is submitted to accounts receivable in a timely manner (for prepay-only customers).
  • Replenishes supplies for order management as needed.
  • Participation is required for RTI’s annual physical inventory preparation and execution.
  • Ability to get along with others, follow directions, multi-task, and work well under stressful conditions.
  • Responsible for complying with company policies and procedures and promoting compliance in other employees.
  • Responsible for following company policies and procedures, including but not limited to Quality System Regulations, safety/housekeeping, and Quality Management System.

SUPERVISORY RESPONSIBILITIES

None.

EDUCATION AND/OR EXPERIENCE

Associate degree and five years’ experience in supply chain, order management, distribution/related fields, or equivalent combination of education and experience. Required to have a basic working knowledge of Microsoft Office. Experience with customer service, Oracle, ASCM training/certifications preferred. Good work history record.

  • Use of hearing and speech are necessary for telephone work.
  • Ability to operate standard business and office equipment such as adding machines, copiers, calculators, etc.
